The concept of ‘MyWard’ is to provide simple visual clues and prompts for improving quality and safety of care. This system was developed in collaboration with multi-disciplinary clinical and managerial staff. MyWard removes administrative burden and enable clinical staff to spend more time on direct patient care, it is also a at-a-glance visual storyboard for staff to get a clear picture of the ward, without having to look through multiple systems! This is a national first for Mental Health, innovation and implantation of such technology to improve patient care shows that the Trust are leading the way in bringing bed management technology in Mental Health services and advocating parity of esteem. MyWard has helped staff across the wards, from reducing admin time to finding patient care information quickly and easily. Care is delivered in a timely manner, reducing confusions, and handover between ward rounds is much quicker and easier. Staff surveyed in February 2016 said: – 85.7% agreed that MyWard helps them to plan their work. – Over 90% agreed that it contributes to patient safety/patient care. – 95% said it makes it easier to see what tasks need to be done for patients. – 90% felt it highlighted gaps in care that have now been filled. – Over 80% feel that it supports them to run more efficiently. – 20 out of 21 staff would recommend the electronic whiteboard to another service. This is a prime example of making better use of technology to facilitate timely intervention and ensuring quality of care, admin time has been cut by 63% per task and staff can spend more time with patients for direct patient care. The electronic visual control board (MyWard) enables more efficient control of resources resulting delivery of high quality and consistent care for patients. Finalists for the Digital Health Award, MyWard enables consistency of care, and could be scalable to other health service areas to make improvements, and to deliver safe and effective clinical services. MyWard shows the patients on a ward and the checks they have had done or need The Patient block shows information about the patient The Indicators show: • Completed Checks in Green • Due checks in Yellow • Late checks in Red • Checks not yet required in Grey To see what the Indicator icons mean, press the Map button When you have completed a Check, tap the relevant icon Some checks can be timed by the clinician. Tap the relevant check box to set the re-check time If you want to see some of the RiO or CareNotes information for the patient, tap the patient name twice If the bed is Vacant or there is a Patient On Leave you can admit a new patient to the bed You must • make sure the information is on RiO, • use the correct Patient ID • enter a Patient Name and NHS Number HOW TO DISCHARGE PATIENTS OR SEND PATIENTS ON LEAVE Tap twice on a patient name. The Patient Information dialog appears. Tap Discharge or Send On Leave. If you Send On Leave you must then provide the Expected Return Date. HOW TO ADMIT PATIENTS If you can Admit a patient to a bed, an Admit button will be visible. Tap this. Enter PatientID, NHS Number and Patient Name and any other information you have. You must get the correct ClientID or MyWard will not be able to match the Indicators you tick off with the correct Client. All other information will be read from RiO at the next daily update. HOW MYWARD GETS INFORMATION FROM RIO Every morning MyWard updates the information from RiO. You can see the time when this was last done in the bottom-left corner in the Last Update area: MyWard gets the following information from RiO: • Patients and Patients OnLeave • Patient demographics • Some Checks For example RiO has VTE information. When you tap the VTE indicator you can see from the dialog that the information was updated from RiO. Some indicators can highlight the patient name. If you choose High Risk then the patient name will turn red. WHAT THE INDICATORS MEAN Grey: Not done, needs to be done Yellow, plus sign: Not done or needs to be re-done soon. “Soon” means you are within 25% of the allotted time: for example if a check needs to be done every 12 hours then there is less than 3 hours to go, if it’s 72 hours there’s 24 hours to go. Red, X sign: Check is overdue Green, tick sign: Check has been done Green just means the check has been done, not that the results were OK. PLANNED DISCHARGE DATES MyWard assumes you will discharge a patient after 72 hours. The Planned Discharge Date icon will start grey, then turn yellow and finally red as you reach this date and time. You can tell MyWard that you plan to discharge the patient on a different date. Tap the icon then tap in the Date box. Type the discharge date or choose the drop-down date selector to select a date. The indicator will turn green and stay green until 75% of the time until the discharge date has passed, when it will turn yellow. You can tap Long Term to indicate that the patient is a Long Stay patient. Then the indicator will turn green and stay green indefinitely. UPDATES Every few minutes the list of patients may flash. This is in case another user (on a different screen, PC or tablet) has admitted a patient or updated an Indicator. If you think another user may have been working on this ward’s data and you want to check, press the Refresh button. SYSTEM MESSAGES If we need to stop MyWard for a while you will see a message. Press the OK button to close this message. If the system is still down the message will reappear after a minute. Please don’t use MyWard until you can close the message and it doesn’t come back.
